If you would like to add MFA or force logout into your system, you can find that under "Modules> Settings> Security.

In order to use either feature you must toggle on the feature and then confirm this choice by selecting "I Agree" on the prompt.&#x20;

To set up your 2FA, follow the prompts to register your account.

When prompted, enter your 6 digit pin to authorize.

## How to Reset User Authentication

Go to your user's Core Profile and click the "Reset 2FA"

# Custom Email

1. Click "Add Domain".  Using your domain console add the DKIM. &#x20;

2. Now add the Return Path information. Click "View Instructions" to get your Name/Host Name and Value/Data. Copy and paste the values needed. The "Type" needs to match as well.&#x20;

3. Your Main Domain should be verified within 48 hours. Verification is needed to move to "Inbound".&#x20;

## Broken Email Link

1. We will send you an email if one of the above have been deleted. In the admin panel you will see the link that is broken lined out in red.&#x20;

# Dashboard

Here is your home page for Asset Management and where you will view recent changes, total number of assets, licenses, accessories, and consumables in your inventory.

## 1 - The Dashboard View

At the top of your dashboard you will have access to a quick view of your total number of assets, licenses, accessories, and consumables. If you click on the More Info link for any of the options, it will bring you to that menu to search for whichever particular type of asset you'd like.

The bottom part of your dashboard will show you the recent activity of all users, if this option is setup for the user, or just the user viewing if permission is limited. On the right is a pie chart of Deployed Assets. When you hover over the chart, you can see the number of deployed, or ready to deploy assets.&#x20;

The Recent Activity Table allows you to go into further detail beyond the scope of this view by clicking on the Item name, or the Admin name. If I click on the Item name, I can view the info and history of the item, if it is apart of a bundle as well as it's fund history.&#x20;

For instance, we recently updated this asset and changed the user. Our system automatically checked in the asset from the current user, and checked out the asset to the new user when the update was done. If you look at the last 3 action items and dates, you will see they were all done at the same time and date due to the update.

By clicking on the Admin's name, you will view the users permissions, activity, any tickets, assets, etc that they have assigned/checkout to them.

## 2 - Custom Dashboard

We've added a new feature for those of you who have report permissions. You are now able to customize your dashboard.

1. Click the "+" button to start your customizations, select "Edit Layout".

2. Select one of your widgets to edit. You can click on the arrow to edit, or change the size of the widget on the bottom right corner.

3. When you edit the widget, you can choose the name of Title and select the report you would like to use for the widget. You will need to delete the previous name of the report to select the new report.

4. Click the "+" again and select "Save Layout".

## 3 - Shareable Dashboard

If you are presenting information or want others to view your dashboard without logging in to AssetRemix, you can share a link to your dashboard and send to viewers.

1. Go to your dashboard and click the "+" and select "Share".&#x20;

2. "Generate Link" for your dashboard. If you do not want your audience to see emails for the users then select "React Emails". **\*Viewers will still be able to see any names of the users.**&#x20;

3. Copy and share the link provided. **\*Opening this link will log you out of your current AssetRemix account for safety measures. You will need to log back in to continue working in your account.**

4. Once you are done presenting, you can revoke your previous links so that they are no longer viewable by others. Select "Revoke All" and confirm.&#x20;

## 4 - Dashboard Templates

You can now share dashboards with others based on their role.

1. On a superadmin account, click the "+" on the dashboard page.&#x20;

2. Select "Dashboard Template", next "Create New", then Name your template and select users to view.&#x20;

3. Set up your dashboard by either adding widgets or importing your dashboard.&#x20;

4. Save your template.
5. On the end users view, they will open the dashboard page, select the "+" and then select the template they want as their dashboard.&#x20;

# Assets

Assets under this tab pertain to IT equipment within your organization that combines financial, contractual, and inventory data to track the status of IT assets across their lifecycle.

#### Examples of Assets are as following:

* Projectors

## The Asset Landing Page

On our asset landing page, you can search, filter, sort by columns, change the amount of records, and change the columns, along with the myriad of items you will see listed in our Asset Management subpages.&#x20;

#### Drop Down Asset Information View

* The first feature on this page we've spotlighted is our asset pulldown menu. By clicking on the arrow next to an asset, you are able to view the info, history, etc. of the asset.&#x20;

#### Editing and Deleting an Asset

* In our Actions column users with permission are able to edit or delete assets. Click on the pencil and paper to edit and the trashcan to delete.&#x20;

#### Changing Column View

* By clicking on our table sort button, you can change the view on your table. In this view, all titles are available, but if I click and unhighlight location and purchase cost for example, in my next screen, those columns will be hidden.

* As you can see, 7 out of my 9 columns are visible.

* You can also toggle the columns by clicking next to the title you want to sort. I've selected Name and have sorted from Z>A by clicking next to name until the arrow pointed down. **\*Note, you will not be able to toggle the Checkin/ Checkout column or the Action column.**

# Uploading Assets/ Getting Started

AssetRemix has a variety of ways for you to upload your assets into our system.

1 - Create a Single Asset

Under Asset Management using the Asset link, clink the + menu tab and select create. You will be prompted to fill in multiple fields for your asset. The more information you provide in the text boxes, the easier it is for searching, as well as report value. Once you've entered the asset tag ID and any other fields, click create and your asset will appear in your inventory.

## 2 - Bulk Create using the Menu

If you have multiple assets and you are wanting to upload them all at once, you will want to use our bulk create option.&#x20;

In our Asset Management tab, click the Assets link and then at the top right of the page, click the + sign. When the menu pops up, click Bulk Create. The more information you provide in the text boxes, the easier it is for searching, as well as report value.&#x20;

Once your bulk create is uploaded, you will get an email notifying you the upload is completed. You will now be able to search for, checkout, and view your assets.

## 3 - Bulk Create by Uploading&#x20;

If you have your own CSV file you would like to upload, we have an upload button available for you. If you'd like to download our template and fill in your data to make uploading your assets a quick task, we have the template and upload button available for you as well.

Our template is available in the + menu at the top right of the assets screen.&#x20;

Once your CSV is complete, upload your file into the asset screen using the upload button.&#x20;

After you uploaded your file, you will be prompted to map your headers. If there is an error with one of the headers, you will notice that you cannot click the next button. Please make sure all headers are correct before moving on. You will be able to correct these by editing later, but this is the best place to ensure everything is correct. After selecting Next, you will now map the data to where you'd like it to go. If you are new to AssetRemix, you do not have any previous mapped data and will want to select the Full Create button. If you have previous uploads, you can select Quick Create and use mapping from prior assets. In our image of full create below, 3rd image down, the supplier name is the only required information, but we've added other fields for address of the supplier and contact name and number which only appears when you pull up that supplier.&#x20;

Once your upload is completed, you will receive an email and all assets will be available.

## 4 - Uploading a Bulk Update for Assets

If you've recently updated an asset or multiple assets, you can upload the new information by CSV. First you need to select which assets you will be updating in the asset list. Then download the file for those assets using our download button.

Update the information that you would like to change on your asset. It is important to note that you DO NOT change the ID number on or column on the CSV file. This notes an update to our system when you upload the CSV back into Asset Management. If you are assigning a user for the first time, the asset will be checked out to the user. If you are assigning a new user, the system will automatically check in the asset and checkout the asset to the new user.&#x20;

After your CSV is update and complete, you are ready to upload it to our system. Select the upload button and your CSV file.&#x20;

Once you have uploaded your file, you will be prompted to map your date. To ensure all data is correct, once you've mapped your data we will prompt that you check again on our last screen before saving these changes.&#x20;

Once your update is completed, you will get an email informing you of how many assets were updated.

## 4 - Bulk Edit

Select the assets you want to edit, then click the "+".&#x20;

You may see a prompt if you have assets that cannot be bulk edited due to custom fields.

Edit your items as needed. You can change the size of the columns, drag and paste in select fields, etc. Any edits will save as a draft only until you click the "Save" icon. You will receive an email once the bulk edit is complete.&#x20;

# Checking Assets Out and In

We want our customers to find what works for them. Here are several ways you can check out and in your assets.

## 1 - Bulk Checkout from the Menu

When you have a staff member who has multiple items checked out to them, bulk checkout is the best method to use to assign the items to the user.

In the Asset Management tab select Assets. Click the + in the top right corner and select Bulk Checkout from the menu. You will be prompted to choose which assets you would like to assign. You can use the search feature and assign by asset name or tag number, or use the bulk load feature on the side if you are assigning an entire chromecart for example. **\*Note: Only assets that are able to be deployed and not checkedout will be appear in the list.**

Next, you will choose the user(s) who will receive the assets. You can search by name, or again use the bulk load feature.&#x20;

On the Map Data Page, you will chose which assets go to which user, if you chose multiple users, the page will tell you how to select multiple assets and link to the users.&#x20;

Confirm your users and assets, and save your changes.

## 2 - Bulk Checkout by Checking Assets' Boxes

If you have multiple assets of the same model, or you can easily search and find them like I have below, you can select the boxes next to the names and click the + menu tab. Notice that the menu options have increased now due to selecting assets. You will select Bulk Checkout. Again, these assets must be able to be deployed and must be checked in to use this feature.&#x20;

Next we will choose our user or users that will be checking out our assets and assign the assets to them. Once we have mapped the appropriate assets to the user, we can confirm and your system will update your devices.

## 3 - Bulk Checkin by User

For this feature, we are going to search using our filter. First we will filter by our user, this will pull up all assets checkout by this user.

Once we have our filtered search pulled up, we can select which assets we are checking back in. I would like to checkin all items, so I selected the select all checkbox, then clicked the + menu button and selected Bulk Checkin.

The system will prompt you to ensure that you want to check the selected assets back in and will give you the total amount of assets for you to ensure you have the same number of assets in you count. Select OK, and the assets will now go back into your inventory as available.

## 4 - Bulk Checkin by Selecting Multiple Assets

I used the search bar to base my assets on location in this example. If you are a user whose permission is restricted to location only, then this will not need to be done. You can use whatever search you would like in order to select what assets you are checking in.&#x20;

Select the assets that you are receiving for checkin, click the + menu button, then select Bulk Checkin. You will be prompted that you are about to check in x amount of devices. Double check the amount of devices you collected with the amount on the screen. Select OK to checkin the devices, or cancel to edit you selection.

## 5- Bulk Checkin with Asset Tag Filter

1. Select the filter and the choose "Asset Tag"

# Generating Barcodes

For easier check in/out you can generate bar codes for printing. Here is how:

## 1 - Select your assets that you would like to create barcodes for.

Once you've selected your assets, click the + menu button in the top right corner of the page and select the Generate Barcode option.

When the reports first generates, your tags may be all together. You are able to use the printer options that we have, or customize your own dimensions. After choosing the printer, or dimensions, select the apply/ save button to see the new layout.

Once you are satisfied with your layout, the print feature is at the top right of the page. You will be prompted to choose the printer you'd like to use to print the barcodes.

## 2 - Generating Barcodes by Bulk Checkout

If you would like help with Bulk Checkout see out documentation [HERE](/asset-management/assets/checking-assets-out-and-in#2-bulk-checkout-by-checking-assets-boxes). Once you have mapped your assets to your users, you will be asked to print barcodes on the last screen before you save your changes. By clicking the Print button, you can chose to Print Tags, or Print Report, or both!

Printing Tags will allow you the same printer and customization options as above. **Make sure you save your mapping after printing.**

# Proxy Checkout

If you need to sign for or accept another person's asset, your agent can use a Proxy Checkout in bulk

## Creating Proxy Checkout

1. Click on the "+" and select "Bulk Force Checkout" *\*Items must have a pending checkout and a Eula signature required in order to use this feature.*&#x20;

We understand licenses for assets are an important part of your IT Asset Management. We want to help you keep all your documents and information together and keep your team informed.

#### Drop Down License Information View

* Next to the name of your license is an arrow. Click on the arrow to view information about your license, who is assigned to the license, and the activity history.

* Under the Actions column, you can edit, the paper and pencil, or delete, the trashcan, your license. Users must have apropriate permissions to utilize these functions.

* Using our table view, each user can individually customize their table headings and hide or view whichever columns they want to view. By clicking the table view button and highlighting the column titles they want seen, and unhighlighting the titles they want hidden.

# Uploading/ Creating Licenses

Here are a few ways to input your licenses into our system.

## 1 - Creating Single License

To create a single license, click the + button located at the top right of the screen.&#x20;

You will then be prompted to fill in the form for your license. The more information you fill out, the better our system can help you when it comes time to renew your license.

Click the create button and your new license is now in the system.

## 2 - Bulk Create Licenses

To create multiple licenses in our system you can click on the + button and select Bulk Create.

You will be prompted to fill in the fields for each license that you have. In the view below, I have added multiple rows to show that you can create as many licenses at once as you would like. Once you've entered the data into the fields, click save and you will be notified when your bulk create is uploaded.

## 3 - Bulk Create through Upload

If you would rather download our CSV template and upload your licenses, or you already have a CSV file and prefer to upload it into our system, we have an option for you as well.

If you need a template, click the + button at the top right and select template.

# Assigning Licenses

## Checking Out Licenses

There are 2 ways to view license information. One way is to click on the name of the license, another is the click on the arrow next to the name for a drop down menu. Click on the Assigned tab and click the Checkout Now button.

Fill in the following prompt, select user from a drop down menu or start typing in user name/email. If you would like to give a reason as to why the user needs the license check the box and type a comment. Select Check Out when completed. **\*Note: Only one user can be assigned at a time. Multiple users can be checkout out to, but will need to repeat this process for each user.**

# Bulk Editing and Deleting

## 1 - Bulk Editing&#x20;

If you have several licenses that need to be edited or updated there are two options to edit these. You can select the licenses that need editing by clicking the boxes next to the title, then clicking the + button and selecting Bulk Edit.

Complete any of the updates/ edits that you need to make on the next screen, then select save. A prompt will appear stating that you will receive an update when this edit is finalized.

## 2 - Bulk Editing by Uploading

The second way to bulk edit is to update your information by downloading the license data that you want to update, editing the file that needs to be updated, then uploading the new CSV. The important step in this edit is to not delete the first column that has the ID numbers attached to the license. This tells our system that we are updating the license, not creating a new license.

First, select your licenses to download, click the download button.

Open the download and edit the fields you need updated on your license. Upload your CSV, you will be prompted to map your header data. Click next and map your data. Once that is done, confirm all information is correct and save your documents. You will get an email once the upload is completed. ## 3 - Bulk Deleting

Did you recently get rid of multiple licenses and need to delete them all at once? Select the licenses you need to delete, click the + button and select Bulk Delete. You will be prompted to confirm you are deleting the desired amount of licenses. Select OK to continue, and cancel to go back.

# Accessories

#### Drop Down Accessory Information View

* Click the arrow next to your accessory's name for a quick and easy access to view it's information, who it is assigned to, and the activity history.

# Creating Accessories

## 1 - Creating Single Accessory

Click the create button and your new accessory is now in the system.

## 2 - Bulk Create Accessories

To create multiple accessories in our system you can click on the + button and select Bulk Create.

# Assigning Accessories

## 1 - Checking Out Accessories in Assigned Tab

There are 2 ways to view accessory information. One way is to click on the name of the accessory, another is the click on the arrow next to the name for a drop down menu. Click on the Assigned tab and click the number next to Available for Checkout.

## 2 - Checking Out Accessories in Table View

Click on the Check Out button on the accessory row that you'd like to check out.&#x20;

## 3 - Checking In Accessories

In the Assigned view click the Check In button next to the User you are checking in the accessory for.

When you hover over the check in, there will be two options for you to select.

Selecting Detailed will allow you to add a comment, as well as immediately check the devices out to another user.

If you select instant, you will be prompted to select how many the user is returning, the system will inform you how many items the user has. No other information is allowed at that time.

# Creating Bundles

## Getting Started

#### \*You can now create empty bundles ([See Below](#creating-empty-bundles))

1. Choosing what goes in to your bundle is entirely up to your team. We are here solely to walk you through how to create a bundle. Start by clicking the + button and selecting Create.

2. Next you will be prompted to select what is included in your bundle. For the sake of this walk through, my bundle will include a bit of everything. I will start with Assets.&#x20;

3. I want to do a bulk load for a Classroom set of computers. Since they need to be in a classroom I need to filter my Type by Location and narrow that down. I chose Tomball, so I can easily access the computers close to the classroom I am locating them for. When I filter this information I notice that nothing pops up in my search until I select Load. Once that is clicked, my preferences are chosen and my devices are loaded.

4. I went through and deleted (by clicking the trashcan icon) any devices that were not Acer C732T. That way all devices were the same and we could easily spot these devices from others.

5. Next, I toggled from assets to Accessories to add a smart tablet device for the teacher and also added a License for a TI Calculator as well I did a bulk load by manufacturer for both of these. Make sure on these that you change the quantity needed to just 1, or however many needed for each bundle. If you notice, I have not changed the quantity I need on the License yet. It will automatically input how many you have. You will need to adjust this number.

6. Once you select next, you will be prompted to name and describe the bundle. This will be available to all of your team, so make sure that you choose something that is easily distinguishable.

## Creating Empty Bundles

1. Click on the "+" button at the top right of the screen.

If you want to create a single empty bundle, click "Create" and follow steps 2-4 , If you would like to create a bulk bundles, click "Bulk Create" and follow steps 5-6 .

2. Click "Create" and then click "Next" on the following screen without adding anything.

3. The following prompt will appear, click "Yes"

4. Name your Bundle and add a description if you would like. Click "Save" and you are done.

5. Click "Create Bulk"&#x20;
6. Name your bundles and add descriptions. Either tab through the name and description to add rows, or click "+ Add Row" to add more bundles. Click "Save" once you are done.

# Restriction Location

Restrict users to viewing bundles based on location.

1. Whether you are an admin creating a bundle, or a restricted user, creating a location restricted bundle is simple. Start by clicking the + button and selecting Create. *\*Users will need create permissions.*

2. Next you will be prompted to name your bundle. This is where you will also have the option to select a location for the bundle and restrict access to that location. *\*If you are a restricted user, you will only be able to select your location.*&#x20;

3. After clicking next, you will be prompted to select assets or items for the bundle. Save when you are finished. *\*This can be left blank for now if you are creating blank bundles.*&#x20;

4. Your bundle will appear in the bundles list. *\*Restricted users will only be able to view bundles at their location.*&#x20;

# Asset Models

## 1 - Creating a Single Asset Model Upload

1. Click the "+ button" and select "Create".

2. Fill in all the applicable fields for your asset model. The more information you input, the better search data you will have.

## 2 - Bulk Create in the System

1. Click the "+ button" and select "Bulk Create".

2. Insert your asset data into the fields. Either tab through to get new rows, or click "+ Add Row" to get new rows.

## 3 - Bulk Create through Upload

If you have your own CSV, you will not need to do steps 1-2.

2. Fill in the template for your asset models you would like to upload
3. Upload your template into our system.

5. Map your data. You can edit any data on this screen if needed by clicking the "+" signs off to the side, under Action.

6. Click Next.
7. Confirm your upload.
8. You will receive an email when the upload is complete.


# Categories

## &#x20;- Creating a Single Category Upload

1. Click the "+ button" and select "Create".

2. Fill in all the applicable fields for your category. The more information you input, the better search data you will have. If you would like for your user to confirm acceptance before checkout, click the first checkbox. This will send them an email asking them to confirm they are receiving the accessory, in this case. For best practices, I chose to email user on checkin/checkout.

3. Select Create and your category will immediately appear in the table.

## 1 - Creating a Single Manufacturer Upload

1. Click the "+" button at the top right of the screen. Select "Create" to create a single upload.

# Suppliers

## 1 - Creating a Single Supplier Upload

1. Click the "+" button at the top right of the screen. Select "Create" to create a single upload.

## 2 - Creating a Bulk Supplier Upload

1. Click on the "+" button at the top right of the screen. Select " Bulk Create" to create a bulk upload.

2. Fill in the required field and any other fields you have information for each supplier that you have. You can tab through each field, or click the "+ Add Row" in order to add more supplier fields.

3. Click "Save". You will receive an email once your bulk upload is completed.


# Funds

If you have special funds allotted for certain assets that need to be spent during a set time, we have the space for that. You can also use this space for grants given to teachers or schools as well.

## 1 - Creating a Single Fund

1. Click the + button at the top right of the screen and select Create.

2. Fill in the information for the Fund that you are creating.

3. Once you've created the fund, it will automatically update on the fund page.&#x20;

## 2 - Bulk Create in System

1. Click the + button at the top right of the screen and select Bulk Create.

2. Type the information you have for each fund into the fields, click the "+ Add Row" to add more rows, to tab through the fields to create another row.&#x20;
3. Click Save when your have completed all the funds for this upload.

4. Once your bulk create is completed, you will receive an email letting you know the upload is complete.

## 3 - Bulk Create through Upload

If you have your own CSV, you will not need to do this first or second step.

1. Download our template by clicking the + button at the top right of the screen and selecting download template.

2. Input your information for all the funds you would like uploaded into the template.&#x20;
3. Upload your CSV into our system by clicking our upload button located on the right side of the screen.

# E-Signature Confirmation

Here is how you can have your users confirm asset checkout with their signature.

## Setting up for e-signature

1. Go into your dashboard settings using the cog next to Asset Management.&#x20;

## Users View with Confirmation

1. Your users will get a confirmation email after assets are checked out under "Pending Checkout". This email will take 10-15 minutes to send in order to compile all assets being checked out to that user into a single email.&#x20;

You can then view all signatures for that asset by going to "Assets" searching the asset and clicking the view more arrow. Click on EULA History for current and past checkouts.&#x20;

# All Tickets

If you have permissions, you will have access to view and change status of all tickets here. You can also create tickets for yourself or others.

## 1 - Creating a Ticket for Yourself

1. Click the "+ button" in the top right on the screen.
2. Select "Request Help for Yourself"

Change the view of your All Ticket dashboard from our normal table view.

You can change how many columns you view by clicking the table with the number next to it, and selecting the headers you'd like to see.&#x20;

# Creating a Ticket for Unassigned Items

\*This feature is for Help Desk Agents/Admins and not for view-only users.

## 1 - Creating a Ticket through Email

1. Send an [Email](/help-desk/request-help/creating-a-ticket-for-others#2-creating-a-ticket-via-email) creating a ticket for your item. Once this is done, you can go into the console and see the created ticket under "All Tickets"

2. Click the "Open" drop-down and select "Closed". This will prompt you to select an asset at this time. \*You must have "Select item on ticket close" toggled on in settings for this option.

3. Toggle "Search All" on and type in the item you are adding to the ticket.&#x20;

4. Since the ticket is now closed, you will want to open the ticket again in order to continue maintance on the item.

5. I chose to create a comment for the admin assigned to the ticket to let them know what was going on with the closing and opening of the ticket.&#x20;

## 2 - Creating a Ticket in the Console

1. Under "Help Desk" and "All Tickets" click on "+ tab" and select "Create".

# Comments on Tickets

## 1 - Adding a Comment on a Ticket for All Users

1. If you want to add a comment to let all users know any updates to the status of the ticket, you can click on the text box in the comment section of the ticket.

2. Click "Save" and the comment will be posted. **\*If email option has been chosen, all users attached to the ticket will be emailed the comment as well.**

## 2 - Adding a Private Comment for Help Desk Agents Only

1. If you would like to add a comment that only you, the agent, or any other Help Desk agents of your choosing can see, then you can click on the private box and create your comment similar to [section 1](#id-1-adding-a-comment-on-a-ticket-for-all-users).

2. When you go to save your comment, you will be prompted to tag any agent that you want to share this comment with. If you would like to keep this comment private for yourself, click save in the prompt. Otherwise, type in the name or email of the agent you'd like to share with and save the comment. **\*These comments will not send notifications since they are private.**

3. Hover over the lock and you will see who has access to the private comment including yourself. If no one else has access, it will say "Only You".

## 3 - Notifying Agents in Comments&#x20;

You can use hashtags to notify and add agents into your comments. These comments can be public or private and will notify the agent by email.

1. To pull up the list of agents, type # and all of the help desk agents will pull up.

2. Continue your comment and either "Save" or select "Private"

3. If you select private, then the person you have tagged will be added to the comment as a viewer. You will not be able to delete them from the list of viewers. Click "Save" and this person will automatically be sent an email to notify them of the comment.

## 4 - Editing a Comment&#x20;

You can edit a comment you've made whether it is public or private. \*You must be in the ticket page to edit the comment, not the dropdown menu of the ticket.

1. To edit a previous comment that you've made, click on the ticket ID to enter the above screen.
2. Next to the comment you want to edit, click the edit icon. Your comment will appear in the comment box below, where new comments would usually go. You can then edit your comment.&#x20;

3. Once you've updated your comment, you can choose change the viewers of the comment as well. \*Our new comment box allows you to reformat your text to meet your needs as well.&#x20;

4. Once you've save the updated comment, it will show as edited to all selected viewers.

# Request Help

Creating a ticket for yourself or for someone else? Here are some tools to help you get started.


# Creating Multiple Item Tickets on Assigned Items

You can now add multiple assets and items in to one ticket to make Help Desk as easily accessible as possible for our users.

## 1 - Creating a Ticket in the Console

1. Under "Help Desk" click "Request Help"
2. Select who the ticket is being created for. In this example I chose myself. *\*If you are creating a ticket for another user, you will need to choose the user next.*

3. Choose the type of ticket you need to create. *\*In order to create a multi item ticket, you will need to choose one that has assigned assets.*&#x20;

4. Select the assets you want to add to the ticket. *\*You can toggle the "Select All" on if you have items to add that are not assigned to this user.*

5. From the drop down menu, select the issue with the device. I selected other since my devices had different issues. I will write the issues in a comment after the ticket is made.&#x20;

6. Add a date that the device was broken, if different from the date the ticket was made. Click "Submit".&#x20;

7. Your ticket will be made immediately with all assets added. You can add comments if you would like.&#x20;

## 2 - Creating a Multi Item Ticket via Email

1. Compose a new email, send it to your assigned item email address under "Help Desk>Settings>Options>Email to Tickets".
2. Using our [Email Help Desk Hashtag Language](/help-desk/request-help/email-help-desk-hashtag-language), add the user, types and items you are wanting to make a ticket for. *\*One user per ticket, types and items must have the same number of inputs. For example if I am adding 3 assets and 2 accessories, type should say #type:asset,asset,asset,accessory,accessory and item should have 3 asset tags followed by 2 accessory names.*&#x20;

3. Once you send the email, it will take a few minutes to be put into the console. You will get an email letting you know when it is complete.&#x20;
4. When the upload is completed, you will see your ticket with the assigned items populated.&#x20;

# Email Help Desk: Hashtag Language

Many of our customers have asked for email capabilities for Help Desk. Here is our hashtag language broken down by needs.

### The following hashtag language is only available to be used by admin users who have been given the necessary permissions inside out our Asset Management and Help Desk system. If a user has “view assigned items only” permission, these will not be valid. <br>

#### When entering the following tags, make sure that there are no spaces between the tag and the following value. See examples after each tag.&#x20;

1. Use <mark style="color:red;">#user:</mark> followed by the email of the owner the help desk ticket is being assigned. #user: cannot be used in comments of help desk tickets. *\***This is only valid for the creation of new tickets.***

Ex:    <mark style="background-color:red;">**#user:<some.email@domain.com>**</mark>

2. Use <mark style="color:red;">#admin:</mark> followed by the email of the admin user being assigned to the help desk ticket. ***\*This can also be used when commenting on help desk tickets.***

Ex:    <mark style="background-color:red;">**#admin:<some.email@domain.com>**</mark>

3. Use <mark style="color:red;">#status:</mark> followed by either the full or partial name of the status that you would like to have the help desk ticket set. ***\*This does need to be a status that has already been created inside of your workspace. \*\*This is also able to be used when commenting on help desk tickets.***&#x20;

Ex:   <mark style="background-color:red;">**#status:closed**</mark> <mark style="background-color:red;"></mark><mark style="background-color:red;">or</mark> <mark style="background-color:red;"></mark><mark style="background-color:red;">**#status:progress**</mark>

4. Use <mark style="color:red;">#type:</mark> followed by the type of the item that you want to select when you are creating or commenting on a help desk ticket. ***\*Must be used in conjunction with item number 5.***

Ex:   <mark style="background-color:red;">**#type:asset**</mark> or <mark style="background-color:red;">**#type:accessory**</mark><br>

5. Use <mark style="color:red;">#item:</mark> followed by the asset tag or asset name to select the item that you want to assign the help desk ticket. ***\*Must be used in conjunction with item number 4. \*\*This can also be used when commenting on tickets. When using special characters, any character other than the dash (-) sign is treated as the end of the value.***&#x20;

Ex:   <mark style="background-color:red;">**#item:123-abc**</mark> or <mark style="background-color:red;">**#item:JohnsChromebook**</mark>

When using either <mark style="color:red;">#type:</mark> or <mark style="color:red;">#item:</mark> you need to use both tags. ***\*Item number 4 and 5.***

#### If an agent is assigned to a help desk ticket through the hashtag language, then the ticket assignment rules do not apply, except for the Email All rule.&#x20;

# Comments on Tickets through Email

Under Help Desk, click on Settings and then select Options.

You can select comments on ticket close if you'd like, but we want to go to Outgoing Emails for this section.

We understand getting an overabundance of emails is not ideal, but when it comes to our assets, the more we are informed the better. You can select what you want your users emailed about. In this case, select anything that has to do with the Owner of the ticket so they can respond to emails with comments.&#x20;

I had a ticket made for my asset. When the ticket was created, I was sent an email.

By responding to the email above, I was able to create a comment about the problem and send it in to be added to the ticket.

When the ticket is viewed, my comment was added without any additional steps being made by any user.

# Creating a Ticket for Others

If you have permissions that allow your to create tickets for others, here are a few ways to go about creating tickets.

## 1 - Creating a Request in the Console

Under Help Desk in the console, click on Request Help. The first prompt will ask who you are requesting help for. Once you select "for other user" the next prompt will allow you to select the user or type in the name of the user. **\*Note: User must already be in the database.**

The third prompt will ask you which type of ticket you are creating. Select the ticket type from the menu and the screen will automatically move on to the last prompt. Before your ticket can be made, you will need to choose the item the ticket is being created for, and the issue for the ticket. Click submit and your ticket will be created.

The ticket will appear on the Help Desk screen once it is created. You will be able to see the details of the ticket and have editing capabilities as well.

## 2 - Creating a Ticket via Email

There could be times when an admin wants to open a ticket on behalf of another user account. In order to do this, the user with permissions will send an email to your support email \`helpdesk@\<domain>.com\` and insert a special tag in the email text of “#user:\<users\_email>” where “#user:” should always be used to open a ticket on behalf of an end user and following the colon should be a valid end user email address. **\*Note: You can not reply to the sending email and create a comment, doing this will create a new ticket. You can only add comments from a ticket that was sent to you from AdminRemix. These emails will look as follows “+\<TICKET\_ID>@inbound.adminremix.com” or you can reply to a previous email about tickets.**

If you have permissions to assign an admin to do the task you could also do so in the email, as well. Here I assigned an admin to the ticket, as well as a user. I gave an asset number, but did not use any hashtag language for the tag.

By using the # language through email, I was able to assign both the user and that admin to this ticket.

# Ticket Category

## 1 - Creating a Single Category

To get started, click the + button at the top right of the screen. Select Create and a single create prompt will pop up.

Fill in the Name and Ticket Type to create your category. To help decipher this ticket, you can add an icon and a description or notes as well. Click create and the category will automatically be added.

## 2 - Creating Bulk Categories

To create bulk categories, click the + button and select Bulk Categories. The bulk upload will load. Click the +Add Row to add as many categories as you'd like.

Enter the Name and Ticket Type for each category you'd like to add. Adding an Icon and Description or Note will help your team decipher even more between categories.

Once you click save, the system will load the files and create the categories. You will receive an email when the upload is completed.


# Custom Ticket Builder

Build your own tickets or use our premade tickets.

## Building your own Custom Ticket

1. **(Optional)** Create a [Ticket Category](/help-desk/settings/ticket-category) if you would like a new type of ticket to be active. **\*Only 1 ticket can be active in a category at a time.**&#x20;

2. In Custom Ticket Builder (CTB), select Builder.

3. Create a Name for your ticket, and choose the Ticket Category you want to associate this ticket with.&#x20;

4. Create your first Question/ Label for your ticket. In this example we are doing a selection based question. Under Options, type what you want in the dropdown menu pressing enter to add a new selection. You can choose to made a question/ label required by clicking the checkbox next to "Required".

5. **(Optional)** Add conditions to your Question/ Label. Click the "Add Condition" button and choose what type of condition you want to add.&#x20;

# Ticket Rule

Here is an explanation of the variation of rules that our system has and how to apply it to your team. These rules apply to users that are designated as Admin and have the Help Desk permissions.

**\*When using Location Restriction; If the ticket rule cannot find an agent at the location, it will choose any agent to assign the ticket to.**

## 1 - Email All Rule

1. In the top right corner of the screen (image above) click the + button, select Create. Choose a name for your rule. For example, if you are top admin and you want emails for all categories of tickets, then name your rule Email All Categories. If you are the IT Department head and want your IT team to get emails for all tickets IT related, name it, Email All IT.&#x20;
2. Next under Rule Engine, select Email All. This will send an email for all tickets, that you've toggle on, in [Options 3 - Outgoing Emails](/help-desk/settings/options#3-outgoing-emails).&#x20;

3. Select your Categories next. You can choose as many as you want, but you must choose at least 1 category.&#x20;

4. Choose the Agents/Admin that you want to receive emails about the above categories. **\*Remember they will only receive emails if you've toggle email permission on in the Help Desk>Settings>Options>Outgoing Emails.**

5. Check the Active box to make sure this rule is Active. You will have to deactivate other rules that have the same category in them. **\*Only one active category rule can apply at a time.**

## 2 - Round Robin

Round Robin Starts with first agent listed, then goes to 2nd, then 3rd, continues patten for more agents listed, then goes back to first and repeats.&#x20;

1. Similar to the rule above, you will give a name to your rule and choose the "Round Robin" Rule Engine from the drop down menu.

2. Select a category that is not already in a rule use, and choose the agents that are available to work in this category. These are the agents who will be assigned these tickets, so they do need to be in that department.

3. Here is where you can choose to use Location Restriction. If you have an Agent at the same location of the user that has submitted the ticket, the ticket will automatically go to that agent. If multiple agents are at the location, then the Round Robin rule applies to the agents at that location. Chose the active checkbox to make this rule go into effect.

4. Click create and your rule will now start applying to new tickets that are created.

## 3 - Least First

This rule assigns jobs to the agents with the least amount of tickets first. Similar to Round Robin, you can also have Location Restriction for your agents put into place.

1. Chose a name for your rule and select "Least First" from the Rule Engine drop-down menu.

2. Choose a category that does not have an active rule attached to it, and assign the agents who will be assigned to work on the tickets.

3. Choose if you would like location restriction on or off, and select active to apply the rule for upcoming tickets.

# Options

## 1 - General&#x20;

Toggle off or on to "Create Comments on Ticket Close". This will require the admin to let the user know the end status when closing the ticket. As well as "Select Item on Ticket Close" which requires the admin to select which item they are closing the ticket for.

  * When toggling this option on, agents will be required to leave a comment when they close a ticket.

## 2 - Email to Tickets

In order to email in tickets for yourself or others in you team, you must have at least one email set up to email in to. You can start with a general ticket category if you would like to allow every user to email in to the same ticket email.

You will be prompted to select an email for any emails sent in that are not made by your organizations users. These will be forwarded to the assigned email you provide.

## 3 - Outgoing Emails

In order to receive emails for Help Desk Tickets, you need to toggle on these outgoing emails.&#x20;

* **Ticket Assigned Email to Agent**

  * When toggled on, the console will automatically send an email to the AGENT in which the ticket is assigned.

* Ticket Closed Email to Owner
  * When toggled on, the console will send an email to the assigned OWNER when a ticket is closed.
* Ticket Created Email to Owner

  * When toggled on, the console will send an email to the assigned OWNER when a ticket is created.

# Restricted Help Desk

This is our view only for Help Desk. These are not allotted agents, but anyone you want to view open tickets. They do not have access to change the status, comment, create, update, or delete anything.

Restricted users will be able to view tickets in help desk. This is similar to view only users access, however these users will be able to see tickets of other users. They will not have access to comment or update tickets, the right hand help desk column will not appear for these users.

Our Core is where your team will be added. You can set their permissions, departments, add location restrictions if you choose to as well.


# Getting Started

AssetRemix has a variety of ways for you to upload your assets into our system.

## 1 - Creating a Single User Upload

1. Click the "+" at the top right of the screen, select "Create".

9. Make sure your data is correct and then select "Save".

10. Your User will show up in the console automatically.

## 2 - Creating a Bulk User Upload

1. Click the "+" at the top right of the screen, select "Bulk Create".

2. Enter the required fields for the User. You can tab through the fields, or click the "+ Add Row" to add additional users. **\*Note\* These will automatically all become "View Assigned Items Only" Permission Users.**

3. Click "Save". You will receive an email once the bulk upload is completed.

## 3 - Bulk Create by Upload

If you have your own CSV file you would like to upload, we have an upload button available for you. If you'd like to download our template and fill in your data to make uploading your assets a quick task, we have the template and upload button available for you as well.

1. Download the template using the "+" menu at the top right of the screen.&#x20;

2. Once your CSV is complete, upload your file into the asset screen using the upload button.&#x20;

3. After you uploaded your file, you will be prompted to map your headers. If there is an error with one of the headers, you will notice that you cannot click the next button. Please make sure all headers are correct before moving on. You will be able to correct these by editing later, but this is the best place to ensure everything is correct. Select "Next" to move to the next screen.

4. You will now map the data to where you'd like it to go. If you are new to AssetRemix, you do not have any previous mapped data and will want to select the Full Create button. If you have previous uploads, you can select Quick Create and use mapping from prior assets. Click "Next" to move on to the confirm page.

5. If you have any fields that are red, you can edit those fields before saving.

6. Once your upload is completed, you will receive an email and all assets will be available.

# Setting Permissions for Users

AssetRemix allows for a wide variety of roles for users. You can choose to use the roles we have preselected, or pick and choose your own.

## Permission levels

Our SuperUser is the main administrator, one SuperUser must be held on the account at all times. Once you will be asked to select a department in the first screen. The department is for location restrictions for assets and help desk.&#x20;

In the second screen, you will be prompted to select your users role if you choose to do so. These roles can be preset. You can customized your user's permissions on the current screen, or choose a role and customize your user's permissions. If you have more than one feature; such as Asset Management and Help Desk, make sure you select each tab to select permissions if choosing Custom Permissions.

If you have any Custom Values you would like to add, you may do so in the third screen. Before you are able to finish, you will be shown a screen with your users new permissions and asked to save or edit.&#x20;


# Setting Up Roles

If you have the same key staff members you can set roles to have the same permissions for those users.

## 1 - Creating Roles

1. Click the "+ button" at the top right of the screen, select "Create".

2. Create your role name and select permissions for the role.

3. You are able to select permissions across any of our products you have access to for your roles.&#x20;
4. Once you have selected all the permissions for the role you are creating, click "Save".

## 2 - Assigning Roles

When adding a new user you are able to assign a predetermined role to the user.&#x20;

1. Under "Core > People" click on the "+ button" and select "Create".

2. Input your User's information into the first page, then select "Next".
3. Select the role the user is assigned to. You can click the "eye" icon to see what the user will have permissions for in this role. If this user needs to have additional permissions, toggle the custom permissions and select any other permissions they need. Click "Next" to move on to "Custom Values".

4. Add any custom values you may need, and then finish the user's permissions by saving on the final screen.

## Setting Permission

1. Click on either Roles or People.
   1. If selecting "Roles" you can either create new or edit existing help desk roles.
   2. If selecting "People" search for the person, then edit the role.

## 3 - Bulk Create by Upload

If you have your own CSV file you would like to upload, we have an upload button available for you. If you'd like to download our template and fill in your data to make uploading your assets a quick task, we have the template and upload button available for you as well.

1. Download the template using the "+" menu at the top right of the screen.&#x20;

2. Once your CSV is complete, upload your file into the asset screen using the upload button.&#x20;

3. After you uploaded your file, you will be prompted to map your headers. If there is an error with one of the headers, you will notice that you cannot click the next button. Please make sure all headers are correct before moving on. You will be able to correct these by editing later, but this is the best place to ensure everything is correct. Select "Next" to move to the next screen.

4. You will now map the data to where you'd like it to go. If you are new to AssetRemix, you do not have any previous mapped data and will want to select the Full Create button. If you have previous uploads, you can select Quick Create and use mapping from prior assets.&#x20;

5. Once your upload is completed, you will receive an email and all assets will be available.

# Fines

If your staff issues fines for assets or other devices, we have a way for you to track those fines and let your users see what they owe as well.

## 1 - Creating a Fine from the Core Menu

1. Under "Core", click on "Fines".

2. Click the "+" at the top right of the page, then click "Create".

3. Choose the User to assign the fine to by clicking the "User" box and either selecting from the list, or typing in the name of the user.

4. Enter the fine amount and if it requires payment.
5. Add any notes you would like to let the user or admin know why the fine was assigned.

6. Click "Issue Fine" and it will be entered into the user's profile.

## 2 - Create a Fine using the User's Profile

1. Click on the user you are issuing the fine to, then select "Issue Fine" under the "Info" menu.

2. Follow steps 3-6 under [#id-1-creating-a-fine-from-the-core-menu](#id-1-creating-a-fine-from-the-core-menu "mention").

## 3 - Create a Bulk Fine

1. Under "Core", click on "Fines".

2. &#x20;Click the "+" at the top right of the page, then click "Bulk Create".

3. Fill in the fields and either tab to add more rows, or select the "+ Add Row".

4. Continue filling in the missing fields. The "User" is a search or drop down menu, under "Item" you can select any item the user had checked out to them.

5. Save the bulk create. You will receive and email when the bulk create is complete.


# Creating Invoices for Fines

You can now create an invoice for your fines.

1. Set up your Header for your invoices. You will do this under "Settings > Core", it only needs to be completed once.

2. Select the person or people who you want to create an invoice for (all fines will go into one invoice. Only use multiple people if creating a family invoice). You can create an invoice for 1 person with multiple fines as well. Once you've selected all of the fines, click the "+ > Create Invoice".&#x20;

3. If you've selected multiple people, chose the person you want to create an invoice for.&#x20;

4. You can choose to add customer details if you would like. **\*You will have to manually do this each as we do not keep student addresses in our system.**&#x20;

5. If you would like to add a due date the date will automatically be put in the footer of the invoice. You can add a note if desired.

6. Click "Create" you will be automatically directed to the "Invoice" page.&#x20;

# Settings > Pending Action Rule

You can now add your own pending actions to your system.

1. Click on the "Pending Action Rule" under "Core".&#x20;

# Lansweeper

Let's start creating your new Lansweeper application for this integration. Make sure you're logged in to your Lansweeper account and follow these steps:

## Getting Started

1. Log into your Lansweeper account and follow the steps.
2. Click on your account profile.

7. Using the **"Click to copy"** copy your unique callback URL to insert in to Lansweeper. Click **"Add Application"** to complete this part of the process.

8. After the application is created, a crediental text file will be automatically downloaded from Lansweeper. Open the file to proceed to the next step.

## Setup

9. Using the **"Client ID"** and **"Client Secret"** from the file, fill in the data for the two fields. Click **"Save and Proceed"**.

10. Confirm that the application was authorized successfully, then select **"Next"**.

11. AssetRemix and Lansweeper have different names for our fields. Select which Lansweeper Metadata best matches our fields. "Asset Tag is locked in to Asset Name" You can also select the **"Prefer Local"** box if you'd like the data to be ignored in an update.

# JAMF School

Visit your JAMF School panel to get started with our integration process.

## Getting Started

1. Sign in to your JAMF School account.

# Google Workspace

## 1 - Setup

1. Select Google from our list under Integrations, then SSO.

2. From your Google Admin console, click "**Apps**" from the sidebar then click "**Web and mobile apps**" from the list.  If your application is already created, choose it from the list and move to step 3 in the process (step 5 in this documentation). 3. Give your application an "**App Name**" and click "**CONTINUE**"

## 2 - Including and Ignoring Groups

1. If you have select groups that you would like to include or ignore in your sync, toggle "Intention". **\*Either Organization or Groups must be toggled on in order for this feature to be toggled on.**&#x20;

2. Start typing the group you want to include until you see it in the menu.&#x20;

# Chromebook

Integrate your Chromebooks to Asset Remix. \*This sync happens once a day around midnight.

## Selecting your Settings

1. Under Integrations, choose "Chromebook"&#x20;

These reports are for you only. You can create reports in our "Report Builder" or by filtering and saving your search. If you do any bulk actions however, they will save automatically in your reports.  You can toggle these on and off in your reports by clicking the "Hide Bulk Action Reports".&#x20;

# Report Builder

Our builder is where you can build and save reports for yourself or your team. Here is a breakdown of one of our reports.

## 1 - Creating a Report

1. Name your report.&#x20;
2. Select what type of report you would like to create.&#x20;

   I selected Aggregation Report to help those who would like to do Rolling Reports.

3. Choose the type of chart you want the report represented as.

4. Select the Entity which you are creating the report. I chose "Ticket" due to the report being based on closed tickets per Admin.

5. Under "Method" I chose "Count Occurrence" so the system tallies all the counts for the "Field".

6. Select your "Field". Here I chose "ID", this is what our tickets are based on.

Select "+And". When you click on the first drop down, the  menu list shows the following options.&#x20;

For the purposes of our demo report, we will continue with the Rolling Report.

9. Select "Admin"
10. In the next dropdown select "Assigned". This will only show tickets that have been assigned to an Admin, and then closed. If you want to see tickets that are not assigned to anyone and are closed, then skip step 9 and 10.&#x20;
11. Select "+Add"
12. In the dropdown select "Created At"&#x20;
13. In the next drop down select "Rolling Window"

14. Input the number of days you would like the window to be open.

15. Select "+ And" ("+ And" means required logic) \*Selecting "+ Or" would mean optional logic.
16. Select "Status" from the menu.
17. Select "Exact Match"&#x20;
18. Select "Closed", this refers to all closed tickets.&#x20;

If you want your report to be for you only, then you can click "Save". If you would like your report to be open for anyone with permissions to see the report, click the box to share and make public for your users. Make sure you click "Save" after you click the share box.

## 2 - What Do the Menu Items Mean?

2. No Exact Match - Any Item or value excluding the one provided.

4. Greater Than or Equal - Any number larger than, or equal in value to the one given.
5. Less Than - Any number smaller in value than the one given.

8. Not Between - Any value not in between 2 given values, that you choose.

10. Not In - All entries outside the field in which you choose. Make sure that you hit enter to apply the entries.&#x20;
11. Rolling Window- All entries within a given window will be updated to reflect the value. EX: A rolling window of 30 days will update daily to reflect the last 30 days from the calendar date.&#x20;

12. Rolling Newer- All entries newer than the given value (in days).

# Searchable Report

Here is an example of our searchable reports.

1. Open a new report builder. Type in a name for the report.

2. Select "Searchable Report" in the option dropdown.&#x20;

3. Select which "Entity" you want to search. (For this report I chose "Activity". When I chose "Activity" I was able to chose which type of activity I wanted to search as well.)

4. Select the conditions in which you want to search. You can narrow down your search as much as you'd like. (I chose "Date>Between" in order to find a specific timeframe. I also chose "Action>Exact Match> Check In")    &#x20;

5. Click "Preview" to check what your report will look like. Make any changes now if you find you are not getting what you need out of your report.

6. Save your report. You can click the button at the bottom to make public to your workspace.&#x20;

# Editing and Filter Reports

## 1 - Action Tab

Under the "Action Tab", there are 3 different options for managing your reports.&#x20;

1. ![](/files/nLEixGRQyupIDgCgYRap)**Replicate** ![](/files/hnJpLE4Ya2FzgtYBAuv2) Makes a copy of the report and opens it up in "Report Builder" for you to edit or update.
2. ![](/files/XWDxMAj0jgOByNrKVUrz)**Edit** ![](/files/uFxUx2lxuSZmpDMbaRWD) Opens up your report in "Report Builder" for you to edit or update.
3. ![](/files/dUR9uWugitwOavvczSWI) **Delete** ![](/files/HNwoAUFYGEXlTOk7DKPk) Deletes your report from your report page, as well as the public report page.

## 2 - Filter Report

1. Select the "Filter" icon and choose whichever entities you would like to filter.

2. Refine your filter and select "Filter Now".

3. Click the "Floppy Disk" to save the filter. Name your report and save.

Your Report will be saved under your reports and "Public Reports".
